We have an opportunity for an Administrator to join their team of staff in the Facilities Service department, based in Hillington – Glasgow.

This is a Full Time role for 37.5 hours a week. This is a temporary vacancy for 9 Months.

Applicants should meet the following criteria:

  • Good IT/keyboard skills, proficient in the use of MS Word and Excel
  • Minimum of GCSE/Standard Grade Mathematics and English
  • Data input experience required
  • Excellent telephone communication manner
  • Excellent written/verbal communication and interpersonal skills
  • Demonstrated high level of organisation & time management skills, particularly in an environment with multiple, and sometimes conflicting priorities
  • Be willing to work towards a Level 2 Certificate in Facilities Service Principles


Duties of this role include:

  • To be an active member of the facilities team, involved in the day to day running of the department, providing an efficient and high quality materials management service to all internal customers and ensuring that the overall objectives of the facilities function are achieved
  • Provide data processing services for the Engineering function in respect of a Maintenance Management system (MMS) and EBME Management system.
  • Assist with the analysis of costs within FS
  • Assist with other administration duties to support the project and facilities team
  • Assist duties of EBME Technical Manager, H&S Regional Managers and Environmental Manager
  • Order spare and replacement parts for the Engineering teams
  • Manage the administration of the ordering, consolidating and contract paperwork
  • Copy and reconcile invoices against orders on accounts system
